Ewloe Green Primary School, based in Flintshire, is a forward-thinking school dedicated to providing a high-quality learning environment for pupils and staff. As part of this commitment, Ewloe Green sought to modernise its print infrastructure. Having previously relied on a large number of standalone printers across classrooms and offices, the school wanted a more centralised, cost-effective and sustainable solution to manage its day-to-day printing and scanning needs.

 

The Challenge

Almost every classroom had its own individual printer, resulting in hundreds of pages being printed daily without central oversight. The Greendocs Approach

Greendocs began with a full review of Ewloe Green’s existing print setup and devices across the school. Our aim was not only to replace what was there, but to design a smarter, more efficient print environment that would better serve staff, pupils, and administration.

We recommended a centralised print solution, reducing the number of printers across classrooms and offices and replacing them with a smaller fleet of reliable Toshiba multifunctional devices. These modern systems provided all the features the school needed — secure and efficient printing, advanced scanning, and easy-to-use controls — while helping staff manage print volumes more effectively and reduce unnecessary waste.

Just as importantly, the new print setup was designed to be sustainable, cost-effective, and well supported. By introducing devices that were more reliable and better suited to the school’s workload, Ewloe Green has been able to improve efficiency, cut colour usage, and save significantly on annual print costs. Our team then created a tailored print strategy that included:

  • Comprehensive print audit – reviewing the school’s existing devices, usage patterns and print volumes

  • Strategic consolidation – reducing around 20 desktop printers to six central multifunctional devices (MFDs)

  • Deployment of Toshiba MFDs – energy-efficient systems offering secure printing, advanced scanning and simplified management

  • Seamless installation – coordination between Greendocs’ engineers and the school’s IT team to ensure minimal disruption

  • Staff training and onboarding – on-site sessions for key staff to ensure confident use of the new technology

  • Device repurposing initiativedonating several outgoing photocopiers to their partner school in Africa, extending their life and supporting sustainability abroad
